Occupancy sensors

Occupancy sensors for real workplace insight

Booking data tells you what people planned. Occupancy sensors tell you what actually happened. Matrix Booking combines both, giving facilities and estates teams a complete, real-time picture of space utilisation across every site. All data is captured anonymously.

How the data works together

Booking data, check-in data, and sensor data each tell you something different. Used together, they give you a verified picture of utilisation that none of them can provide alone.

Booking data shows you what was planned, who reserved which desk or room, and when. Check-in data confirms who actually arrived, via QR code, NFC, or access control badge. Sensor data shows what happened in real time, whether a space was occupied, by how many people, and what the environmental conditions were.

Matrix Booking combines all three streams in a single analytics view. You can see the gap between bookings and actual attendance, identify ghost bookings, and build a data case for estate decisions, removing the need for manual data reconciliation across separate systems.

Occupancy and utilisation data can be exported to your preferred analytics platform, including Power BI and Tableau, via the Matrix Booking open API.

Use occupancy sensor data to optimise your estate

Combine occupancy sensor data with desk booking software insights in Matrix Booking for a complete view of workspace utilisation

A team may book a meeting room for 10 people for two hours. But just five attend in person and the meeting only lasts an hour. Someone may book a desk for a day, but only use it for a few hours.

Sensor data in Matrix Booking shows you resource utilisation in real time, meaning you know what’s actually happening in your offices, and can monitor trends.

Use these insights to intelligently adjust your blend of desks, rooms, collaboration spaces, and other resources, in response to how you know people are using them.

Cut costs with real-time occupancy dashboards and reports

Administrators and facilities teams can see occupancy and environmental information in real-time dashboards and historical reports, and combine this with resource booking and check-in data.

These can bring to light opportunities for quick savings. For instance, office sensors may show some zones are lightly used at certain times. Close these areas during quiet periods to reduce the cost and environmental impact of heating, cooling, lighting, and cleaning.

Quiet weekdays may also be the perfect time to carry out maintenance, instead of paying higher weekend or evening rates.

Real-time desk availability using occupancy sensors

Do you have free seating areas as well as bookable desks? Desk sensors in your free seating zones let you display live availability on interactive in-building screens or the Matrix Booking mobile app.

This helps people without bookings quickly find space to work.

Help people find informal spaces with live occupancy data

Informal spaces, such as sofa areas, games rooms, and cafés, are popular locations for ad hoc meetings or a change of scenery. Help employees find space fast, by adding occupancy sensors to your informal areas and displaying live information on in-building screens, or the mobile app.

Meet health and safety requirements with environmental sensors

Environment and air quality sensors enable remote monitoring of your offices. Spot potential problems early, so you can ensure you’re meeting your health and safety responsibilities.

Then go further by combining environmental data with booking, occupancy, and utilisation insights, to spot links between people’s resource usage and environmental factors. Are some rooms seeing much lower use at certain times of day? Environmental data may show these spaces becoming much warmer at these times. Cooling them down could encourage more people to use them.

Monitor data such as temperature, noise levels, CO2, humidity, and pollutants.

Boost productivity with real-time environmental and occupancy data

Some employees love working in a bustling office. Others are more productive in a quieter space. Some prefer it warm, while others like it cooler.

Use environmental sensors to display data about different parts of your buildings when people book desks and rooms in Matrix Booking. This helps everyone choose space where they’ll be most comfortable and productive.
